One workspace. Source: https://teloring.com/ Markdown: https://teloring.com/index.md Section: Product Last modified: 2026-10-15 Your customers write on WhatsApp, email, Instagram, SMS, your website and TikTok, and they call you on the phone. Teloring puts all of it in one omni channel inbox, with a CRM, automation, e-signatures and AI that answers on its own. [Start free](https://console.teloring.com/join) [See the platform](https://teloring.com/solutions) Connected to the platforms your customers already use - WhatsApp - Email - Voice - Web chat - SMS - Instagram - IG posts - Messenger - Facebook - Telegram - LINE - TikTok - API The platform ## Everything a customer team needs, in one place Teloring is not just a shared inbox. It's the inbox, the CRM behind it, the automation that runs it, and the AI that helps, or handles it for you. ### One inbox for every channel WhatsApp, email, SMS, phone calls, website chat, Instagram DMs and comments, Messenger, Facebook, Telegram, LINE, TikTok and your own API: every message becomes a conversation in the same queue. ### AI Copilot & AI Agents Copilot reads each incoming message and gives your rep a suggested reply, the customer's mood, a subject line and labels. An AI Agent can take the conversation over completely and close it on its own. ### CRM built for conversations Customers, contacts, lifecycle stages, journey history, calls, signed documents and any custom object you invent (deals, service calls, assets, subscriptions), all linked to the conversation. ### Objects for everything you track Customers and contacts come built in. Add Orders, Products or anything else your business runs on, link records together and save filtered views your team can share. Import from CSV or Excel, export to Excel. ### Analytics you build yourself Drag report cards onto a dashboard: numbers, charts, gauges and tables over conversations, reps, channels, customers, forms and signatures. Or describe the report in plain language and let AI build it. ### Automation, forms and e-signatures Studio automates the repetitive work with a visual flow builder. Forms collect structured data. Documents Signature sends a PDF for legally traceable signing, without leaving Teloring. The Ring ## One Ring to connect them all Every channel you connect becomes a coloured arc on your Ring, and an inbox feeding the same queue. Connect as many of each as you need: two WhatsApp numbers, three mailboxes, a sales line and a support line. - WhatsApp Business API: templates, buttons, media, read receipts - Email as a shared team mailbox: Teloring-managed, Microsoft 365, Gmail or any IMAP/SMTP - Voice: a real phone number with a browser softphone, recording and call flows - Instagram, Messenger, Facebook Pages, Telegram, LINE, TikTok, SMS, website chat and your own API [See all 13 channels](https://teloring.com/solutions/channels) AI World ## AI you switch on one capability at a time AI World is a single page of switches. Turn on what helps your team, leave the rest off. Nothing is sent to AI until you enable it, and AI only ever reads your own account's data. - AI Copilot: suggested replies, tips and answers grounded in your knowledge base - Automatic conversation summaries and a 20-point customer-emotion score on resolve - Churn risk, upsell intent, urgency and labels detected while the chat is live - AI Agents that greet, answer, collect CRM fields and hand off to a human when needed [Explore AI & AI Agents](https://teloring.com/solutions/ai) - 13 Channels you can connect - 14 AI capabilities built in - 99.9% Uptime SLA - <1s Real-time message delivery How it works ## Live on your first channel today Connect a channel, invite your team, and start replying. Most accounts send their first real reply the same day. 1. ### Build your Ring Open My Ring and click a channel. WhatsApp runs a verification wizard, Microsoft and Meta open a provider login, Telegram and LINE take a bot token, website chat gives you an embed snippet, Voice assigns a phone number. 2. ### Invite your team Add reps with a role and a default language, and switch on the browser softphone for whoever takes calls. Add an AI Agent the same way. It appears in the assignment list next to the humans. 3. ### Reply, automate, measure Messages land in the queue. Copilot drafts, Studio automates, the CRM records it, Analytics reports on it, and Achievements pay you free credits along the way. What teams say ## Built with the teams who use it every day > We were running WhatsApp on a phone, support on email, and Instagram on someone's personal login. Now it's one queue and nothing gets lost. **Support lead**, E-commerce, 9 reps > The AI Agent handles the first message on every chat at night. In the morning half the queue is already answered and the details are in the CRM. **Operations manager**, Services company, 4 reps > Saved views are the part I didn't expect to use most. 'Every open deal whose customer already signed' is one table now instead of an afternoon. **Account manager**, B2B sales team Omni Channel ## What omni channel means, and why it matters Omnichannel (omni channel, omni-channel) is a way of working where every customer conversation, whether on WhatsApp, email, SMS, phone, website chat, Instagram, Messenger, Telegram, LINE or TikTok, shares one customer record and one team queue. The customer can switch channels; the conversation carries on with its full context. Teloring is built that way from the ground up: thirteen channels, one inbox, a CRM behind every conversation and AI across all of it. Our guides explain omni channel, multichannel communication and the WhatsApp Business API in plain language. Also called: Omnichannel, Omni-channel, Omni channel, Multichannel communication, Unified inbox 1. [What is Omni Channel? Omnichannel customer communication explained](https://teloring.com/support/omnichannel): Definition, benefits, omnichannel vs multichannel, and a five-step plan for building an omni channel customer experience. 2. [Multichannel customer communication: channels, tools and best practices](https://teloring.com/support/multichannel-communication): Which channels customers use, how to run them without silos, the multichannel vs omnichannel decision, and the KPIs that matter. 3. [WhatsApp Business API: the complete guide for businesses](https://teloring.com/support/whatsapp-api): How the WhatsApp Business API works, App vs API, per-message pricing, templates and the 24-hour window, use cases and setup. ## Ready to put every channel in one place? [Start free](https://console.teloring.com/join) [Request a demo](https://teloring.com/contact) Inside the platform ## Twelve modules, one login Every part of Teloring reads the same customer record. Nothing is a bolt-on, and nothing needs a second subscription. 1. [Conversations](https://docs.teloring.com/docs/getting-started/conversations/): The rep workspace: queues for mine, waiting, Studio bot, AI Agent, all open and resolved. Reply, assign, label, prioritise, flag, pin, snooze and resolve, plus right-click quick actions and bulk edits. 2. [Customers (CRM)](https://docs.teloring.com/docs/product/objects/#the-built-in-objects): A customer record with lifecycle stages, linked contacts, journey history, conversations, calls, documents and custom objects. Design the fields yourself with a drag-and-drop editor. 3. [Objects](https://docs.teloring.com/docs/product/objects/): The tables your business keeps: Customers, Contacts, Calls and Documents built in, plus your own, such as Orders, Products or Projects. Linked records, live lookups, saved views, CSV and XLSX import, XLSX export. 4. [My Ring](https://docs.teloring.com/docs/product/ring/overview/): The channel page. Each channel type is an arc on a ring; click it to add an inbox. Several inboxes per type, each with its own name, status and settings. 5. [AI World](https://docs.teloring.com/docs/product/ai-world/): One page of switches for every AI capability. Off by default, admin-controlled, account-wide, and saved the moment you flip them. 6. [AI Agents](https://docs.teloring.com/docs/product/agents/): Autonomous conversation profiles you configure across eight tabs: identity, writing voice, knowledge grounding, rules, the data it must collect, what to do on success or failure, and working hours. 7. [Knowledge Base](https://docs.teloring.com/docs/product/knowledge-base/): Upload PDFs, Word, Excel, CSV, text and images, or point Teloring at a web page and crawl it. Ask a question in plain language and get an answer built only from your content, with a reference. 8. [Studio](https://docs.teloring.com/docs/product/studio/): Visual automation. Triggers on incoming messages, conversation and CRM changes, rep presence, intervals, schedules and inbound webhooks, then replies, notes, assignments, CRM writes, HTTP calls and sandboxed code. 9. [Forms](https://docs.teloring.com/docs/product/forms/): Build a public form, publish the link, and collect structured answers. Versioned, snapshot submissions, hidden fields, and a Studio trigger on every completion. 10. [Documents Signature](https://docs.teloring.com/docs/product/objects/#the-built-in-objects): Upload a PDF, drop signature, initial, text, date, number, phone and checkbox fields on it, send a signing link, and get back a stamped document with a SHA-256 hash and signer audit trail. 11. [Analytics](https://docs.teloring.com/docs/product/analytics/): Dashboards with tabs and a free-form canvas. Each card is a recipe over live data (number, chart, gauge or table) with its own filters, design and raw-row export. 12. [Files Warehouse](https://docs.teloring.com/docs/product/files-warehouse/): The account-wide inventory of every stored file: customer attachments, sent media, call recordings, signed documents, Studio voice prompts and form images, with totals, filters and conversation links. Conversations ## Every message. One queue. WhatsApp, email, SMS, phone calls, website chat, Instagram, Messenger, Telegram, LINE, TikTok, all in one workspace with three panels: the queue, the conversation, and everything you know about the customer. - Queues for mine, waiting in line, Studio bot, AI Agent, all open and resolved - Filter by channel type, inbox name, labels, priority, flag and time period - Rich media, threaded email view, private notes, quick replies and bulk actions - Right-click any conversation for assign, priority, labels, flag, pin and resolve ![Conversations workspace screenshot: Three-panel layout: queue, conversation, customer](https://teloring.com/static/img/en/conversations.webp) Customers & CRM ## A CRM that lives next to the chat A customer is the record for the relationship: a business, a household, a person. Around it sit the contacts who write to you, their conversations, their calls, their signed documents, and any object your business actually needs. - Lifecycle stages, journey history and an assigned account owner - Custom objects (deals, tasks, service calls, assets, subscriptions) designed by you - Drag-and-drop field editor for contacts and customers - Link, relink or create the customer straight from the conversation sidebar ![Customer profile screenshot: Profile with journey, custom objects and documents](https://teloring.com/static/img/en/customer-profile.png) Objects ## Your business, as tables you design Customers, Contacts, Calls and Documents come built in. Add objects for whatever your business runs on (Orders, Products, Projects, Service calls), link their records to each other and to your customers, and work with all of them from the same table, filters and saved views. - Linked records with live or frozen lookups: an order can show its customer's current industry, or keep the price at the time of sale - Filters with AND / OR two levels deep, field-to-field comparisons, and personal or shared views pinned to the sidebar - Import CSV or XLSX files of up to 50,000 rows with a dry run first, and export any view to Excel - Permissions per object and a full change log on every record, including changes made by imports, Studio and the AI Agent [Read the guide](https://docs.teloring.com/docs/product/objects/) ![Object builder screenshot: Fields, sections and settings of an object](https://teloring.com/static/img/en/views-builder.png) Studio & Forms ## Automate the part nobody wants to do Studio is a visual flow builder: blocks on a canvas, connected. It answers first messages, routes by business hours, chases follow-ups, writes to the CRM, and calls your other systems. - Triggers: incoming message, conversation change, customer or record change, rep presence, interval, schedule, inbound webhook - Actions: reply, private note, conversation update, contact and CRM writes, HTTP request, sandboxed code, date maths, variables - Wait-for-reply steps turn a flow into a bot, and end-session hands back to a human - Forms collect structured answers on a public link and fire a Studio trigger on every submission [Read the guide](https://docs.teloring.com/docs/product/studio/) ![Studio flow builder screenshot: Trigger, condition and action blocks on the canvas](https://teloring.com/static/img/en/studio-flow.webp) Documents Signature ## Send it, sign it, keep the proof Upload a PDF, drop the fields where they belong, and send a signing link over any channel you already use. The customer signs in the browser. No account, no app. - Signature, initials, text, date, number, phone, email and checkbox fields - Auto-fill fields from the customer, contact or a custom object record - Signed PDF stamped with your own logo, a SHA-256 hash and the signer's audit trail - Send finished documents to customers through your own WhatsApp templates Analytics ## Reports you build, on live data Every report is a recipe: pick a source, choose what to measure, group it, filter it, and choose how to show it. Teloring runs it against live data. A report is never a stale snapshot. - Sources across conversations, messages, contacts, reps, customers, custom objects, forms and e-signatures - Numbers, charts, gauges and tables on a free-form canvas, arranged in tabs - View the raw rows behind any card and export them to Excel or PDF - Describe the report in plain language and let AI fill in the builder [Read the guide](https://docs.teloring.com/docs/product/analytics/) ![Analytics dashboard screenshot: Cards on the canvas with tabs](https://teloring.com/static/img/en/analytics.png) Enterprise ready ## Built for security. Designed to scale. From a two-person team to a contact centre. Roles, 2FA, audit logs, API keys and complete account isolation. ### Roles & access Admin, Agent and Supervisor roles. Admins configure the account; reps do the work. Invitations expire in an hour and password resets in seven days. ### Two-factor authentication Per-rep or enforced account-wide. Codes are emailed, expire in five minutes, are stored only as a hash, and are rate-limited against brute force. ### Complete audit trail Every action logged with a timestamp and an actor. Searchable, filterable and exportable when compliance asks. ### Developer API REST API with JWT sessions and per-rep personal API keys. Webhooks for real-time events, an API channel for custom messaging, and inbound webhooks that start Studio flows. ### Account isolation One account can never read another's data: conversations, files, knowledge bases or reports. Sessions are encrypted, credentials are encrypted at rest, and every request carries security headers. ### 99.9% uptime Auto-scaling services on Google Cloud Run with Redis caching and connection pooling, built for millions of messages. Real time ## Your team, in sync Native WebSockets, not polling. See who's online, who's typing, and where every message got to. Talk to each other in an internal chat that never touches the customer. - Live rep presence and typing indicators across every channel - Internal rep-to-rep chat with file attachments and search - Delivery status on every message: sent, delivered, read - Achievements reward the team milestones along the way, in free credits ![Real-time collaboration screenshot: Presence, typing indicators and internal chat](https://teloring.com/static/img/en/realtime.png) ## See Teloring on your own data Start free, connect a channel, and judge it with real conversations. [Start free](https://console.teloring.com/join) [Request a demo](https://teloring.com/contact) --- # AI that answers, not just suggests Source: https://teloring.com/solutions/ai Markdown: https://teloring.com/solutions/ai.md Section: Product Last modified: 2026-10-15 Teloring's AI sits where your reps already work. Copilot drafts the reply and reads the room. An AI Agent takes the whole conversation, answers from your knowledge base, collects what you need into the CRM, and hands over to a human at the right moment. [Start free](https://console.teloring.com/join) [Request a demo](https://teloring.com/contact) Flagship ## AI Copilot Copilot reads each incoming customer message in the background and posts what it finds into the panel beside the conversation: a suggested reply, an answer from your knowledge base, the customer's mood, a subject line, labels, and a warning when the conversation is going wrong. - Reads the whole conversation, not just the last message - Answers grounded in your Knowledge Base, with a reference back to the source - Never sends anything on its own: your rep reviews, edits and sends - Runs only on open or pending conversations not already owned by a flow or an AI Agent [Start free](https://console.teloring.com/join) [Read the guide](https://docs.teloring.com/docs/getting-started/conversations/#ai-copilot) ![AI Copilot screenshot: The Copilot panel beside a live conversation](https://teloring.com/static/img/en/ai-copilot.png) Autonomous ## AI Agents An AI Agent is a conversation participant, not a suggestion box. Assign one from the same "Assigned to" menu you'd use for a person, and it greets the customer, answers, collects data and closes, or escalates. Each active AI Agent counts as one seat. [Read the guide](https://docs.teloring.com/docs/product/agents/) - Identity, job title and bio, plus the tone, length and languages it's allowed to use - Grounded on a Knowledge Base you choose, from strict-KB-only to open assistant - Collects the fields you define straight into customer, contact or conversation records - Forbidden topics, promises it must never make, and server-enforced turn and time limits - On success: resolve, hand back to the queue, or assign a specific person - Escalates on "asked for an agent", anger, upsell, churn risk, forbidden topic or low confidence - Working hours per weekday with a timezone, and a configurable after-hours reply - Follow-up and give-up timers when a customer goes quiet ![AI Agent editor screenshot: The eight configuration tabs](https://teloring.com/static/img/en/ai-agent-editor.png) AI World ## Fourteen capabilities. One control room. Every capability is a card with a switch. Off by default: nothing goes to AI until an admin turns it on, and it applies to the whole account the moment they do. ### AI Copilot The master switch for live assistance. Reads each incoming message and posts insights into the Copilot panel. The six helpers below run inside it. ### Help & Tips Real-time coaching in the panel: how to respond, what the customer seems to need, which tone fits. Tips reappear as the conversation develops. ### Smart Subject Detection Writes a short, clear subject line once it understands the topic, and only when the conversation doesn't already have one. ### Auto-Assign Labels Tags the conversation with category labels such as billing, refund or technical, creating them if they don't exist. Up to five, and only when you haven't labelled it yourself. ### Detect Churn Risk Watches for a customer about to cancel or leave and raises an alert explaining what triggered it. It can also start a Studio flow. ### Detect Upsell Opportunity Spots interest in buying, upgrading or spending more, and flags it for the rep before the moment passes. ### Auto Mark Urgent Judges how urgent the conversation is and sets its priority, but never overrides a priority a person set by hand. ### Rephrase Messages A ✨ button in the composer: improve, fix spelling and grammar, expand, shorten, friendly, formal, simplify, or translate into the customer's own language. ### Conversation Summary On resolve, a 2–4 sentence summary of the topic, what the customer needed and how it ended, written in the conversation's language and saved as a private note. ### Feelings & Emotions Scores the customer's overall mood on a 20-point scale, from appreciative and happy through neutral to frustrated, angry and threatening. Feeds Analytics and can trigger Studio. ### Knowledge Base Unlocks the Knowledge Base page and lets Copilot answer from your approved content. Upload PDFs, Word, Excel, CSV, text and images, or crawl a website. ### Image Detection Describes every image a customer sends (objects, brands, documents and any visible text) and attaches the description to the message. ### AI Studio Build a Studio flow with Hermes. Describe the workflow in plain language, answer a few focused questions, and receive a complete draft with blocks, settings and connections ready for review. ### AI Reports & Analytics Adds a ✨ button to the Analytics report builder so anyone can describe a report in plain language and have the fields filled in for them. Grounding ## Your content is the only source Upload files or point Teloring at a web page, and it reads, splits and indexes them. Ask a question in plain language and the answer is built only from what you provided, never from the open internet, never from the model's general knowledge. If it isn't in your content, the AI says so. - PDF, Word, Excel, CSV, text and images, plus web pages, with optional crawling of inner pages - As many separate knowledge bases as you need (Support, Sales, HR), each searched on its own - Processing runs in the background with a live status per source - Strictly account-isolated: your knowledge is only ever read by your account [Read the guide](https://docs.teloring.com/docs/product/knowledge-base/) ![Knowledge Base screenshot: Sources, status and the question box](https://teloring.com/static/img/en/knowledge-base.png) Your data ## AI on your terms Every capability is off until an admin turns it on. AI only ever reads the conversations, files and records of your own account. Copilot output, summaries and emotion scores are shown to your team, never sent to the customer on their own. Summaries are saved as private notes. ## The AI advantage, in numbers - 14 AI capabilities you can switch on - 20 Point emotion scale on every resolve - 8 Rephrase and tone options in the composer - 8 Configuration tabs per AI Agent In development ## Capabilities currently in development These capabilities appear in AI World as a preview but are not active yet. When released, administrators will manage them from the same control room. - **Conversation Translation**: translate complete conversations in real time - **Conversation Transcription**: convert voice messages and audio into searchable text - **Enrich Knowledge Base**: turn proven agent solutions into approved knowledge - **Prevent Bad Language**: stop inappropriate replies before they reach customers - **Detect Similar Issues**: connect recent conversations that report the same problem - **AI Security**: identify security risks and signs of compromise in real time - **AI Suggestions**: surface AI-generated insights on the main dashboard - **AI File Protection**: scan incoming and outgoing files and block malicious content - **Auto Agent Skills**: map each agent's strengths from conversations and performance ## Try it on a real conversation Start free, switch on Copilot, and see what it does with your own messages. Each human representative requires one seat. An enabled AI Agent also counts as one seat and is included in the minimum seat requirement for Basic, Professional and Unlimited. ### Can I use Teloring for free? Yes. The Free plan includes one agent, 200 monthly credits and the core tools listed above, with no monthly subscription. ### How do monthly credits work? Credits pay for metered activity: for example, sending a WhatsApp template message or SMS, using phone-call minutes, or running an AI action. Each action deducts credits from the account balance, and the included allowance renews every month. Basic, Professional and Unlimited accounts can buy additional credits. The Free plan cannot buy more; once its 200 monthly credits are used, metered actions pause until the next monthly renewal or until the account upgrades. ### Can I change plans later? Yes. You can upgrade as your team grows or move to a smaller plan at the next billing cycle, subject to that plan's limits and minimum seat requirement. ## Start with Teloring for free One agent, the essential tools and 200 monthly credits. Omnichannel customer communication explained Source: https://teloring.com/support/omnichannel Markdown: https://teloring.com/support/omnichannel.md Section: Guides Last modified: 2026-09-13 Omnichannel, also written omni channel or omni-channel, means that every customer conversation on every channel lands in one connected workspace with the full history behind it. This guide covers what it involves, how it differs from multichannel, and how to put it in place. 8 min read Updated 13 September 2026 ## Key takeaways - Omni channel is a customer experience strategy, not a channel list: the channels share one customer record, one history and one team queue. - Multichannel offers choice; omnichannel offers continuity. The difference is whether context follows the customer from WhatsApp to email to phone. - The practical building blocks are a unified inbox, a CRM linked to every conversation, routing rules, automation, AI and cross-channel analytics. - You do not need to launch every channel at once. Start with the two or three your customers already use and add the rest on the same platform. ## Omni channel, defined **Omnichannel** (from the Latin *omnis*, "all") describes a way of serving customers in which every point of contact, whether WhatsApp, email, SMS, phone calls, website chat, Instagram, Messenger or Telegram, is connected to the same customer record and worked by the same team from one place. The spelling varies: omni channel, omni-channel and omnichannel all mean the same thing. In Hebrew the term is אומני צ'אנל, sometimes written as a single word (אומניצ'אנל), and the descriptive phrase תקשורת רב-ערוצית is common as well. What makes an approach omnichannel is not how many channels a business is present on. It is that a customer who asks a question on Instagram, follows up on WhatsApp and finally calls does not have to repeat anything, because the person answering the phone can see the entire thread. The channel changes; the conversation does not. ## How an omnichannel platform works An omnichannel customer communication platform sits between your channels and your team. Each channel is connected once, and from then on every incoming message becomes a conversation in a shared queue. Behind the scenes, six components do the work: - **A unified inbox.** One queue for every channel, so reps work from a single list instead of switching between a WhatsApp phone, a mailbox and a social app. - **One customer record.** Contacts are matched across channels, so the same person on a phone number and an email address is one customer, with one history of conversations, calls, documents and deals. - **Routing and assignment.** Conversations reach the right person or team by channel, language, topic, workload or business hours, with priorities and service-level timers. - **Automation.** Repetitive steps such as acknowledgements, tagging, CRM updates, follow-ups and escalations run on rules rather than on memory. - **AI.** Suggested replies, summaries, sentiment and intent detection for the human team, and autonomous AI agents that resolve routine requests on their own. - **Cross-channel analytics.** Response times, volumes, resolution rates and customer satisfaction measured per channel and for the journey as a whole. ## Omnichannel vs multichannel vs single channel The terms are often used interchangeably, but they describe three different levels of maturity. A business can be genuinely multichannel, present and responsive everywhere, and still frustrate customers, because each channel is an island. | | Single channel | Multichannel | Omnichannel | | --- | --- | --- | --- | | Channels | One (usually phone or email) | Several, managed separately | Several, managed in one workspace | | Customer history | Lives in one tool | Split across tools and inboxes | One record, visible on every channel | | Switching channels | Not possible | Customer starts over | Conversation continues with full context | | Team workflow | One queue | One queue per channel, per app | One shared queue with routing rules | | Reporting | Per channel | Per channel, hard to compare | Per channel and per customer journey | | Typical result | Limited reach | Reach without continuity | Reach and continuity | For a deeper look at the multichannel side, including which channels to offer and how to keep them from becoming silos, see our guide to [multichannel customer communication](https://teloring.com/support/multichannel-communication). ## Five business benefits of omni channel - **Faster resolution.** Reps see the whole story before they answer, so fewer conversations need a second round of questions or a transfer. - **Higher customer satisfaction and retention.** Customers who never have to repeat themselves rate service higher and stay longer; the friction of "let me look that up" is what people remember. - **Lower cost per conversation.** One queue, one set of macros, one automation layer and one analytics view cost less to run than five disconnected tools, and a single team can cover every channel. - **More sales from service.** When the sales record, signed documents and open service issues sit next to the chat, upsell and renewal moments are visible instead of buried in another system. - **Better decisions.** Comparing channels on the same metrics shows where customers actually prefer to talk, where response times slip, and which automations pay for themselves. ## How to build an omnichannel strategy in five steps - **1. Map where your customers already are.** Look at inbound volume by channel for the last three months. In most markets WhatsApp, email and phone dominate; in retail and hospitality Instagram and website chat follow closely. - **2. Centralise the customer record first.** Omnichannel fails when the data stays fragmented. Decide which system is the source of truth for contacts, and connect every channel to it. - **3. Connect channels to one inbox, not one person.** A WhatsApp number on someone's phone is a single point of failure. A WhatsApp Business API inbox that the whole team shares is a channel. - **4. Automate the routine, then add AI.** Start with acknowledgements, routing and tagging. Once the knowledge base is in shape, let an AI agent take first contact and hand off the rest. - **5. Measure the journey, not the channel.** Track first response time, resolution time and satisfaction across the whole conversation, whichever channels it crossed, and review monthly. ## Omnichannel in practice: one customer, three channels A customer comments on an Instagram post asking whether a product ships to her city. A rep answers from the shared inbox and invites her to continue on WhatsApp, where she sends a photo of what she needs. The AI Copilot suggests a reply, the rep confirms availability and sends a quote as a PDF for digital signature. Two days later she calls with a question about delivery. The rep who picks up sees the Instagram comment, the WhatsApp thread, the signed quote and the delivery date on one screen, and answers in thirty seconds. Nothing about that journey required the customer to know which department she was talking to or to repeat her order number. That is the whole point of omni channel. ## Omni channel with Teloring Teloring was built as an omnichannel platform from the first line of code rather than assembled from separate products. [Thirteen channels](https://teloring.com/solutions/channels) feed one conversation queue: WhatsApp Business API, email, SMS, phone calls, website chat, Instagram DMs and comments, Messenger, Facebook Pages, Telegram, LINE, TikTok and a developer API. Every conversation is linked to a [customer record in the built-in CRM](https://teloring.com/solutions), with calls, signed documents and custom objects alongside it. [AI Copilot and autonomous AI Agents](https://teloring.com/solutions/ai) work across every channel, Studio automates the routine, and Analytics reports on the journey as a whole. You can [start free](https://teloring.com/pricing) with one agent and add channels as you go. ## Frequently asked questions ### Is omni channel the same as omnichannel? Yes. Omni channel, omni-channel and omnichannel are three spellings of the same term. Omnichannel is the most common form in English; Hebrew uses אומני צ'אנל or אומניצ'אנל, and the descriptive term תקשורת רב-ערוצית. ### What is the difference between omnichannel and multichannel? Multichannel means being reachable on several channels, each managed separately. Omnichannel means those channels share one customer record and one team workspace, so a conversation can move between channels without losing context. ### Which channels should an omnichannel platform include? At minimum, the channels your customers already use, which in most markets means WhatsApp, email and phone, plus website chat and the social networks relevant to your audience. The platform should let you add channels later without changing your workflow. ### Do small businesses need omnichannel? Small teams benefit most, because one or two people usually cover every channel. A shared omnichannel inbox lets a two-person team answer WhatsApp, email, Instagram and calls from one screen, with AI handling routine questions. ### How does AI fit into omnichannel customer service? AI reads the same unified history the team sees. It drafts replies, summarises conversations and detects sentiment and urgency. As an AI agent, it answers routine questions on any channel before handing complex cases to a person. ## See it in Teloring - [All 13 channels](https://teloring.com/solutions/channels) - [Platform overview](https://teloring.com/solutions) - [AI Copilot & AI Agents](https://teloring.com/solutions/ai) [Start free](https://console.teloring.com/join) Guides & articles ## Keep reading 1. This guide explains what multichannel communication involves, where it breaks down, how it relates to omnichannel, and how to run several channels with one team. 7 min read Updated 13 September 2026 ## Key takeaways - Multichannel communication means being reachable and responsive on several channels: messaging, email, voice, social and web. - The common failure is fragmentation: each channel on a different device or app, with no shared history and no single owner. - A multichannel platform brings every channel into one shared inbox; adding a shared customer record and routing turns it into omnichannel. - Measure first response time, resolution time and satisfaction per channel, and let the numbers decide where to invest. ## What multichannel communication means **Multichannel customer communication** is the practice of interacting with customers across several channels at once: instant messaging such as WhatsApp and Telegram, email, SMS, phone calls, live chat on your website and direct messages or comments on social networks. Each channel is a door into the business, and the goal is that every door is answered promptly and consistently. The term describes reach. A business is multichannel when a customer can choose how to get in touch. Whether those channels are connected to each other is a separate question, and it is the one that separates multichannel from omnichannel, covered below. ## The channels customers actually use Channel preference depends on the market, the age of the audience and the type of request, but a few patterns hold almost everywhere: - **WhatsApp** is the default for quick questions, order updates and appointment reminders in Israel, Europe, Latin America and much of Asia. Through the [WhatsApp Business API](https://teloring.com/support/whatsapp-api) it becomes a shared team channel with templates, buttons and read receipts. - **Email** remains the channel for anything formal or documented: quotes, invoices, contracts, complaints. A shared team mailbox beats a personal one. - **Phone** is where urgency and emotion go. A real business number with a browser softphone, call recording and a note in the customer record turns calls into part of the history rather than a gap in it. - **Website chat** catches visitors while they are deciding, and is the natural home for an AI agent that answers around the clock. - **SMS** is for delivery: one-time codes, confirmations and reminders that must arrive even without data. - **Instagram, Messenger, Facebook Pages and TikTok** are where younger audiences ask about products, in DMs and in public comments, both of which need an answer. - **Telegram and LINE** matter in specific communities and countries and cost little to add once the inbox is shared. ## Where multichannel breaks down Most businesses become multichannel by accident: a WhatsApp number on the owner's phone, a Gmail inbox one person checks, an Instagram account run by marketing, a phone line that rings on a desk. Each channel works on its own. Together they create three problems. **No shared history.** The person on the phone cannot see the WhatsApp thread. The customer repeats the story, and the business gives inconsistent answers. **No ownership.** Messages sit unanswered because nobody is sure who is responsible for that channel today. Response times vary from minutes on one channel to days on another. **No measurement.** With conversations spread across personal devices and apps, nobody can say how many requests came in this month, how quickly they were answered, or which channel converts. ## Multichannel or omnichannel? Choosing the right level Multichannel is the starting point, and for a very small business with two channels it may be enough. Omnichannel is what multichannel becomes when the channels share a customer record, a queue and a set of rules. The table shows what changes at each step. | Capability | Multichannel | Omnichannel | | --- | --- | --- | | Channels connected | Several | Several | | Where messages are handled | Each channel in its own app | One shared inbox | | Customer identity | Separate per channel | One record across channels | | Conversation continuity | Starts over on each channel | Carries context between channels | | Routing and priorities | Manual | Rules by channel, topic, language, load | | Automation and AI | Per channel, if at all | Once, for every channel | | Reporting | Per channel | Per channel and per journey | The full comparison, with a definition and a step-by-step strategy, is in our guide [What is Omni Channel?](https://teloring.com/support/omnichannel) ## Best practices for multi-channel communication - **Share every channel with the team.** Move WhatsApp to the Business API, email to a shared mailbox and social accounts into a shared inbox, so no channel depends on one person's phone. - **Set a response-time target per channel and publish it.** Messaging channels expect minutes; email tolerates hours. Say so in your auto-reply and hold the team to it. - **Write once, reuse everywhere.** Saved replies, templates and a knowledge base keep answers consistent whether the question arrives by chat or by email. - **Route by topic and language, not by who is free.** Billing goes to finance, technical questions to support and Hebrew to Hebrew speakers, automatically. - **Record the outcome on the customer, not the channel.** Tags, notes, deals and signed documents belong on the customer record so the next conversation starts informed. - **Let AI take first contact on high-volume channels.** An AI agent that greets, answers the frequent questions and collects details frees the team for the conversations that need a person. ## Measuring multichannel performance Four numbers, tracked per channel and compared side by side, tell you almost everything: **first response time** (how long a customer waits for the first human or AI reply), **resolution time** (how long until the request is closed), **conversation volume** (how many requests each channel brings in, by hour and day) and **customer satisfaction** (a rating or an AI-scored sentiment at close). Add **conversion** for sales channels: how many chats end in a quote, an order or a signed document. Reviewing these monthly shows which channels deserve more staff or more automation, and which are quietly under-served. ## Multichannel communication with Teloring Teloring connects [thirteen channels](https://teloring.com/solutions/channels) to one shared inbox: WhatsApp Business API, email (Teloring-managed, Microsoft 365, Gmail or IMAP/SMTP), SMS, phone calls with a browser softphone, website chat, Instagram DMs and post comments, Messenger, Facebook Page comments, Telegram, LINE, TikTok and an API channel for your own systems. You can connect several inboxes of the same type, for example a sales number and a support number, or a mailbox per department. Every conversation is linked to a customer in the [built-in CRM](https://teloring.com/solutions), routed by Studio rules, assisted by [AI Copilot and AI Agents](https://teloring.com/solutions/ai), and measured in Analytics per channel and per journey. The Free plan lets you connect your first channels at no cost. ## Frequently asked questions ### What is the difference between multichannel and omnichannel communication? Multichannel means offering several channels; omnichannel means those channels share one customer record and one workspace so context follows the customer. Every omnichannel business is multichannel, but not the reverse. ### How many channels should a business offer? Offer the channels your customers already use and can be answered within your response-time target. Three well-served channels beat eight neglected ones. A shared platform lets you add more later without new tools. ### Can one small team handle many channels? Yes, when every channel feeds one shared inbox with routing rules and saved replies. AI agents can take first contact on high-volume channels such as WhatsApp and website chat, leaving the team the conversations that need judgement. ### What does a multichannel communication platform cost? Most platforms charge per user seat per month, plus usage fees for WhatsApp template messages, SMS and call minutes. Teloring offers a free plan with one agent and paid plans from $29 per seat per month. ## See it in Teloring - [All 13 channels](https://teloring.com/solutions/channels) - [Platform overview](https://teloring.com/solutions) - [Pricing](https://teloring.com/pricing) [Start free](https://console.teloring.com/join) Guides & articles ## Keep reading 1. This guide explains how it works, what it costs, how it differs from the WhatsApp Business app, and how to get started. 9 min read Updated 13 September 2026 ## Key takeaways - The WhatsApp Business API (WhatsApp Business Platform) is Meta's programmatic access to WhatsApp for companies: multiple users, one number, automation and integrations. - The free WhatsApp Business app is for one person on one phone; the API is for teams, chatbots, CRM integration and volume. - Meta bills per delivered template message, by category (marketing, utility, authentication) and recipient country; replies inside the 24-hour customer service window follow their own rules. - Access goes through a Business Solution Provider. Inside Teloring, onboarding is a guided wizard and WhatsApp becomes one channel among thirteen. ## What is the WhatsApp Business API? The **WhatsApp Business API**, officially the WhatsApp Business Platform, is the interface Meta provides so that businesses can send and receive WhatsApp messages from their own software rather than from a phone. Where the consumer app and the free WhatsApp Business app are tied to one device, the API connects a business phone number to a platform: a shared inbox that many agents use at once, a CRM that records every conversation, automation that replies and routes, and AI agents that answer on their own. The API has no interface of its own. Businesses use it through a customer communication platform such as Teloring, which connects to Meta through an authorised Business Solution Provider and presents WhatsApp as a channel next to email, phone, website chat and social media. ## WhatsApp Business App vs WhatsApp Business API The two products share a name and little else. The app is the right choice for a sole trader answering a handful of messages a day. The API is the right choice the moment more than one person needs to answer, or the moment WhatsApp has to talk to other systems. | | WhatsApp Business App | WhatsApp Business API | | --- | --- | --- | | Users | One phone, up to a few linked devices | Unlimited agents on one number | | Where you work | The WhatsApp app | Your platform's shared inbox, web or desktop | | Automation | Greeting and away messages | Flows, routing, CRM updates, webhooks | | Chatbots and AI | No | Yes, both rule-based bots and AI agents | | Outbound at scale | Broadcast lists, limited | Approved templates, per-message pricing | | CRM and integrations | No | Native, with every chat on the customer record | | Reporting | Basic | Response times, volumes, agents, satisfaction | | Cost | Free | Platform seat plus Meta per-message fees | ## How WhatsApp API pricing works Meta's pricing has two layers. The first is what Meta itself charges. Since July 2025 Meta bills **per delivered template message** rather than per conversation, and the rate depends on the template's category (**marketing**, **utility** or **authentication**) and on the recipient's country. Utility and authentication messages unlock lower rates at higher monthly volumes. The second layer is the platform you use, which typically charges a per-seat subscription and passes the message fees through. In Teloring, template messages are paid from your account's monthly credits, with clear quotas per plan and no hidden markup. Meta also offers a **72-hour free entry window** for conversations that start from a Click-to-WhatsApp ad or a Facebook Page call-to-action button. Because Meta's rate card changes, treat any published price as a snapshot and check the current rates for your country before forecasting. Meta has announced that from October 2026 free-form service replies inside the customer service window are also billed per message, at the utility rate. That change is worth factoring into support budgets. ## Message templates and the 24-hour customer service window WhatsApp protects its users from spam with two mechanisms every business must understand. The first is the **24-hour customer service window**: when a customer messages you, a window opens in which your team can reply freely with text, images, documents, voice notes and locations. Each new customer message restarts the clock. The second is the **message template**. To reach a customer outside that window, whether with a delivery update, an appointment reminder, a payment confirmation or a promotion, you must use a template that Meta has approved in advance. Templates can carry variables (the customer's name, an order number), a header image, video or document, and call-to-action or quick-reply buttons. Approval usually takes minutes to a day, and Meta classifies each template as marketing, utility or authentication for billing. A good platform makes this invisible: it shows whether the window is open, offers the approved templates when it is not, fills the variables from the customer record and previews the message before it goes. Customers must have **opted in** to receive business messages. A form field, a checkbox at checkout or a WhatsApp conversation they started themselves all count. ## What businesses do with the WhatsApp API - **Customer service.** A shared inbox where the whole support team answers one WhatsApp number, with the customer's history, notes and previous orders alongside the chat. - **Sales and lead qualification.** Answer product questions with photos and documents, send a quote as a PDF for digital signature, and record the deal in the CRM without leaving the conversation. - **Appointments and reminders.** Utility templates that confirm bookings, remind the day before and let the customer reschedule with a button. - **Order and delivery updates.** Confirmation, dispatch and delivery notifications customers actually read, with read receipts to prove it. - **Authentication.** One-time codes delivered on WhatsApp instead of SMS, at a lower cost in many countries. - **AI chatbots.** An [AI agent on WhatsApp](https://teloring.com/support/whatsapp-chatbot) that greets, answers frequent questions from your knowledge base, collects details and hands off to a person when needed, around the clock. - **Marketing.** Opt-in promotional templates with images and buttons, sent to segments from your CRM, measured by delivery, reads and replies. ## Requirements and how to get started You need three things: a **Meta Business account** for your company, a **phone number** that is not currently registered on the consumer or Business app (or one you are willing to migrate), and a **platform** that connects you through a Business Solution Provider. From there the steps are short: - **1. Choose the platform.** Decide where your team will actually work. If WhatsApp is one of several channels, choose an omnichannel inbox rather than a WhatsApp-only tool. - **2. Connect and verify the number.** Meta sends a verification code by SMS or voice call; the platform completes the registration and creates the inbox. - **3. Complete Meta's business onboarding.** Company details and, optionally, business verification for a higher messaging tier and the official business badge. - **4. Create templates.** Start with the utility messages you send every day, such as confirmations, reminders and updates, and submit them for approval. - **5. Invite the team and set the rules.** Roles, routing, working hours, saved replies, and an AI agent for first contact if you want one. - **6. Publish the number.** Add a click-to-chat link and QR code to your website, email signature, invoices and social profiles. ## WhatsApp API inside Teloring In Teloring, WhatsApp is connected from My Ring in a guided wizard: verify the number by SMS or call, complete Meta's onboarding, and the inbox appears in the shared queue. You can connect several numbers, say one for sales, one for support and one for a second brand, and route each differently. Conversations show sent, delivered and read receipts, support replies, reactions, bold and italic formatting, images, video, voice notes, documents, locations and shared contacts, and the Template tab appears automatically when the 24-hour window has closed. Every WhatsApp conversation is linked to a customer in the [built-in CRM](https://teloring.com/solutions), can be picked up by an [AI Agent](https://teloring.com/solutions/ai) or automated in Studio, and is reported in Analytics next to your other [twelve channels](https://teloring.com/solutions/channels). Template messages are paid from monthly credits, and the [Free plan](https://teloring.com/pricing) includes 200 credits to get started. ## Frequently asked questions ### Do I need a developer to use the WhatsApp Business API? Not if you use a platform. Teloring connects your number through a guided wizard with no code. A developer is only needed if you want to build your own integration, for which Teloring also offers a REST API and webhooks. ### Is the WhatsApp Business API free? Meta charges per delivered template message by category and country, and has announced per-message billing for service replies inside the 24-hour window from October 2026. Platforms add a subscription. Teloring's Free plan includes one agent and 200 monthly credits, and template messages are paid from credits. ### Can several agents answer the same WhatsApp number? Yes. That is the main reason to move from the app to the API. In Teloring, any number of agents work the same WhatsApp inbox from a shared queue, with assignment, notes and AI assistance. ### What is a WhatsApp Business Solution Provider (BSP)? A company authorised by Meta to connect businesses to the WhatsApp Business Platform. Teloring connects your number through an authorised provider, so you get official Meta connectivity without managing the technical relationship yourself. ### Can I use my existing WhatsApp number? Yes, provided you migrate it off the consumer or Business app first, or use a dedicated business line. Landline numbers can also be registered, with verification by voice call. ## See it in Teloring - [WhatsApp Business channel](https://teloring.com/solutions/channels) - [AI Agents on WhatsApp](https://teloring.com/solutions/ai) - [Plans and credits](https://teloring.com/pricing) [Start free](https://console.teloring.com/join) Guides & articles ## Keep reading 1. Today an AI agent on WhatsApp reads the question, answers from your own content, collects the details you need and passes the conversation to a person at exactly the right moment. Here is how it works and how to set one up. 7 min read Updated 13 September 2026 ## Key takeaways - A WhatsApp chatbot runs on the WhatsApp Business API and answers customers automatically, either as a scripted menu or, with AI, in natural language. - AI agents differ from rule-based bots in that they understand free text and answer from a knowledge base, but they must be grounded in your content to stay accurate. - The handoff to a human is a design decision: define when, to whom and with what summary, and the bot becomes a first line rather than a wall. - Measure containment rate, handoff rate, response time and satisfaction, and refine the knowledge base where the bot escalates most. ## What a WhatsApp chatbot is, and what it is not A **WhatsApp chatbot** is software that answers messages on a business WhatsApp number automatically. It runs on the [WhatsApp Business API](https://teloring.com/support/whatsapp-api), not on the consumer app, and it can greet customers, answer questions, collect information, send documents and trigger actions in other systems, at any hour and in any volume. It is not a replacement for the team. The best deployments treat the bot as the first line: it resolves the routine majority instantly and passes the rest to a person with everything already gathered. A bot that traps customers in loops or refuses to escalate damages the brand faster than a slow reply. ## Rule-based bots vs AI agents Two generations of WhatsApp bots are in use today, and many businesses combine them. | | Rule-based bot (flow) | AI agent | | --- | --- | --- | | How it understands | Keywords, buttons, numbered menus | Natural language, in any phrasing | | Where answers come from | Scripted messages you write | Your knowledge base, documents and website | | Best for | Fixed processes: opening hours, order status, booking steps | Open questions, product advice, troubleshooting, qualification | | Risk | Rigid; fails on unexpected input | Can guess if not grounded in your content | | Setup | Design the flow branch by branch | Describe the role, upload content, set rules | | Handoff | On a menu option | On intent, sentiment, confidence or a rule you define | In Teloring both exist side by side: Studio builds rule-based flows with triggers, conditions and actions, while AI Agents handle free conversation. A flow can hand a conversation to an AI agent, and the agent can hand it to a person. ## What a WhatsApp AI bot can do for your business - **Answer the frequent questions instantly.** Prices, availability, opening hours, policies and how-to steps, taken from your own content and with a reference to the source. - **Qualify leads.** Ask what the customer needs, their budget, timing and location, write the answers into CRM fields, and route hot leads to sales. - **Book, confirm and remind.** Collect appointment details and trigger the confirmation and reminder templates automatically. - **Collect structured data.** Order numbers, addresses, ID numbers and photos, before a human ever opens the conversation. - **Speak the customer's language.** Detect the language of the message and answer in it, in the tone you define. - **Work outside business hours.** Cover nights and weekends, and let the morning team start with a summary rather than a backlog. - **Hand off with context.** Pass the conversation to the right team with a summary, the collected fields and a suggested next step. ## Keeping the bot honest: knowledge grounding The risk with any AI chatbot is confident invention. The remedy is **grounding**: the agent answers only from content you have approved, such as PDFs, Word and Excel files, web pages you point it at or articles you write, and says so when it does not know. A well-grounded agent cites the document it drew from, so the team can check and improve the source. Grounding also makes maintenance simple. When a price, policy or process changes, you update the knowledge base once, and every channel (WhatsApp, website chat, Instagram) answers correctly from that moment. In Teloring, the Knowledge Base accepts uploaded files and crawled web pages, and each AI Agent can be set to answer strictly from it, with a confidence threshold below which it hands off. ## Handing off to a human Decide the handoff rules before launch. Typical triggers are: the customer asks for a person; the agent's confidence is low; the topic is sensitive (complaints, cancellations, payments); sentiment turns negative; or a required field cannot be collected. Define where each case goes (a team, a specific agent, a queue) and what the person receives: the full transcript, a summary, the fields collected and the customer's record. Working hours matter too. Outside them, the agent can collect details and set expectations for a reply; inside them, it can hand off live. When the conversation returns to the agent, say after the person resolves the issue and closes the chat, the next message should start fresh with the same knowledge, not the same loop. ## Setting up an AI agent on WhatsApp step by step - **1. Connect WhatsApp through the Business API.** The bot needs a shared inbox, not a phone. - **2. Build the knowledge base.** Start with the twenty questions your team answers most, your price list, policies and product pages. - **3. Define the agent.** Name, role, writing voice, languages, what it may and may not discuss, and which CRM fields it should collect. - **4. Set the handoff rules.** Triggers, destinations, working hours and what happens on success and on failure. - **5. Test with real conversations.** Paste last month's actual customer messages and read the answers. Fix the knowledge base, not the prompt, wherever it guesses. - **6. Launch on one inbox, then expand.** Begin with WhatsApp or website chat, measure for two weeks, then add the other channels. ## Measuring the results Four metrics tell you whether the bot is working. **Containment rate**: the share of conversations resolved without a person. **Handoff rate and reasons**: where and why it escalates, which is the best guide to what to add to the knowledge base. **Response and resolution time**: usually seconds for the bot, and shorter for humans too because the details are already collected. **Customer satisfaction**: a rating at close, or an AI-scored sentiment. Review weekly for the first month and monthly afterwards. ## AI Agents in Teloring Teloring's [AI Agents](https://teloring.com/solutions/ai) are configured in eight tabs (identity, writing voice, knowledge grounding, rules, the data to collect, what to do on success and on failure, and working hours) and appear in the assignment list next to the human team. They work on WhatsApp, website chat, Instagram, Messenger, Telegram and every other [connected channel](https://teloring.com/solutions/channels), answer from the Knowledge Base with a source reference, write into CRM fields, and hand off with a summary. For the human side of the same conversations, AI Copilot suggests replies, detects mood, urgency, churn risk and upsell intent, and summarises each conversation on close. AI capabilities are switched on one at a time in AI World, are off by default and read only your own account's data. An enabled AI Agent counts as one seat on the [pricing page](https://teloring.com/pricing). ## Frequently asked questions ### Is a WhatsApp chatbot allowed by WhatsApp? Yes, on the WhatsApp Business API. Meta requires that businesses identify themselves, respect opt-in for outbound messages and offer a way to reach a person. Bots on the consumer app or unofficial tools violate the terms and risk the number. ### Do I need to write a script for the bot? For a rule-based flow, yes: you design the branches. For an AI agent, you describe its role and rules, upload the content it should answer from and set the handoff conditions; it handles the phrasing itself. ### How does the bot avoid making things up? By grounding: the agent answers only from approved content and says when it does not know. In Teloring you can require strict grounding and set a confidence threshold below which the conversation goes to a person. ### Can the bot work in Hebrew and English? Yes. AI agents detect the language of each message and reply in it, and you can restrict them to the languages your team supports. ### How much does a WhatsApp AI bot cost? In Teloring an enabled AI Agent counts as one seat, and AI actions and template messages are paid from monthly credits. There is no separate chatbot licence. ## See it in Teloring - [AI Copilot & AI Agents](https://teloring.com/solutions/ai) - [WhatsApp Business channel](https://teloring.com/solutions/channels) - [Pricing](https://teloring.com/pricing) [Start free](https://console.teloring.com/join) Guides & articles ## Keep reading 1. This guide explains what modern platforms do, how a shared inbox differs from a ticketing system and a CRM, the capabilities worth paying for, and how to roll one out without disrupting your team. 8 min read Updated 13 September 2026 ## Key takeaways - Customer service software centralises every customer request, from WhatsApp, email, phone, chat and social, in one place where a team can answer, assign and measure. - A shared inbox, a ticketing system and a CRM solve different problems; the best modern platforms combine all three around one customer record. - Prioritise omnichannel coverage, a linked CRM, routing, automation, AI assistance and reporting over features you will not use in the first year. - Roll out channel by channel, starting with the one that carries most volume, and measure first response time from day one. ## What customer service software does **Customer service software**, also called helpdesk software, a customer support platform or a service management system, gives a team one place to receive, answer, track and measure customer requests. Instead of a shared password to a mailbox and a WhatsApp number on someone's phone, every request becomes a conversation with an owner, a status, a priority and a history. The category has changed shape. Early helpdesks were built around email tickets. Today's platforms are built around **conversations on every channel**, including messaging, voice, chat and social, with a CRM behind them, automation around them and AI inside them. The result is closer to an [omnichannel platform](https://teloring.com/support/omnichannel) than to a ticket queue. ## Shared inbox vs ticketing system vs CRM Three product types overlap in this space, and buyers often compare the wrong ones. They answer different questions. | | Shared inbox | Ticketing system | CRM | | --- | --- | --- | --- | | Core question | Who is answering this message? | What is the status of this request? | What do we know about this customer? | | Unit of work | Conversation | Ticket with ID and workflow | Contact, company, deal | | Channels | Email, chat, messaging, social | Email and web forms, often others | Usually none natively | | Strength | Fast, conversational, team-friendly | Process, SLAs, escalation | Data, history, pipeline | | Weakness | Little structure on its own | Formal for messaging-first customers | Conversations live elsewhere | | Modern answer | **A conversation platform with statuses, priorities, SLA timers and a built-in CRM** | | | Teloring belongs to the last row: conversations from thirteen channels with assignment, priority, labels, snooze and resolve, on top of a built-in CRM with customers, contacts, lifecycle stages, custom objects and documents. ## Twelve capabilities to look for - **Every channel your customers use**, in one queue: WhatsApp Business API, email, phone, SMS, website chat and the social networks that matter to you. - **A customer record linked to every conversation**, with history, notes, deals, documents and the fields your business actually needs. - **Assignment and routing** by channel, topic, language, workload and business hours, with priorities and service-level timers. - **Saved replies and templates**, including approved WhatsApp templates for messages outside the 24-hour window. - **Automation** for acknowledgements, tagging, follow-ups, escalations and CRM updates, built visually rather than coded. - **AI assistance for agents**: suggested replies, summaries, sentiment, urgency and translation. - **AI agents** that resolve routine conversations on their own and hand off with a summary. - **A knowledge base** that feeds both the AI and the team, with source references. - **Voice** with a real number, a browser softphone, recording and notes on the customer record. Calls should not be the one channel that lives outside the system. - **Forms and e-signatures** so that collecting details and closing a quote happen inside the same conversation. - **Reporting** on response time, resolution time, volume by channel and hour, agent performance and satisfaction, with export. - **Roles, permissions, two-factor authentication and an audit log**, because the system will hold your customer data. ## Customer service KPIs that matter Choose a handful and watch them weekly: **first response time** (median, per channel), **resolution time**, **first-contact resolution rate** (how many requests close without a second conversation), **backlog** (open conversations older than your target), **volume by channel and hour** (for staffing) and **customer satisfaction** (a rating at close or AI-scored sentiment). For sales-led teams add **conversion**: conversations that end in a quote, order or signed document. A platform that cannot report these per channel and per agent will make the numbers a monthly spreadsheet exercise. ## Implementation: from first channel to full rollout - **Week 1: the highest-volume channel.** Usually WhatsApp or email. Connect it, invite the team, agree a response-time target and create the ten most-used saved replies. - **Week 2: the customer record.** Import contacts, define the fields and lifecycle stages you need, and make writing a note after every conversation a habit. - **Week 3: routing and automation.** Route by topic and language, acknowledge automatically, tag by category, and set escalation rules for aged conversations. - **Week 4: the remaining channels.** Phone, website chat, social. Each one lands in the same queue with the same rules. - **Month 2: AI.** Switch on Copilot for the team, build the knowledge base, and launch an AI agent on the channel with the most repetitive questions. - **Ongoing: review the numbers.** Monthly, per channel, and adjust staffing, automation and the knowledge base accordingly. ## How much does customer service software cost? Most platforms charge **per agent seat per month**, from roughly $20 to $150 depending on tier, with AI and voice often sold as add-ons. Usage-based costs come on top: WhatsApp template messages, SMS and call minutes. Watch for channel limits, per-contact pricing and AI charged separately, three ways a low headline price grows. Teloring publishes four plans: **Free** (one agent, 200 monthly credits, no subscription), **Basic** at $29, **Professional** at $59 and **Unlimited** at $89 per seat per month, with metered activity paid from credits and no extra licence for AI. Full details are on the [pricing page](https://teloring.com/pricing). ## Teloring as your customer service platform Teloring combines the shared inbox, the ticket workflow and the CRM in one product. [Thirteen channels](https://teloring.com/solutions/channels) feed a single queue with assignment, priority, labels, snooze and resolve; every conversation is linked to a [customer record](https://teloring.com/solutions) with lifecycle stages, custom objects, calls, forms and digitally signed documents; Studio automates routing and follow-up; [AI Copilot and AI Agents](https://teloring.com/solutions/ai) assist the team or handle conversations outright; and Analytics reports on all of it per channel, agent and customer. Teams start on the Free plan, connect their first channel the same day and grow into the paid plans as they add seats. Support, guides and the API reference are on the [support page](https://teloring.com/support). ## Frequently asked questions ### What is the difference between customer service software and a CRM? A CRM stores what you know about customers: contacts, companies, deals, history. Customer service software handles the conversations with them. Modern platforms such as Teloring combine both, so every conversation is linked to the customer record. ### Do I need a ticketing system if I use WhatsApp? You need the properties of a ticket (owner, status, priority, history) without forcing customers into a ticket number. A conversation platform gives WhatsApp and email chats those properties while keeping the experience conversational. ### Can a small business use customer service software? Yes. Small teams gain the most, because a shared inbox lets one or two people cover every channel with saved replies and AI assistance. Teloring's Free plan includes one agent and the core tools at no cost. ### How long does it take to implement? Connecting the first channel takes minutes; most teams send their first reply the same day. A full rollout across channels, CRM fields, routing and AI typically takes four to eight weeks alongside daily work. ## See it in Teloring - [Platform overview](https://teloring.com/solutions) - [All 13 channels](https://teloring.com/solutions/channels) - [Plans and pricing](https://teloring.com/pricing) [Start free](https://console.teloring.com/join) Guides & articles ## Keep reading 1. Communication, connected. Source: https://teloring.com/about Markdown: https://teloring.com/about.md Section: Support and company Last modified: 2026-10-15 "Tele" is communication across distance. "Ring" is the connection that closes it. Two interlocking rings: the bridge between a business and the people who talk to it. Why we built it ## Nobody should need five tabs to answer one customer Most teams we meet are running WhatsApp on somebody's phone, support on a shared mailbox, Instagram on a personal login, and the customer's actual history in a spreadsheet. The messages get answered, eventually. The context never survives the handoff. Teloring was built the other way round: one conversation queue on top of a real customer record, with the automation and the AI in the same product rather than bolted on beside it. Connect a channel and it's just another arc on your Ring. How we build ## What drives us ### Simplicity first Complex problems deserve simple screens. If a feature needs a manual to switch on, we haven't finished it. ### AI with a purpose Every AI capability is a separate switch, off until you turn it on, solving one real problem. No data goes to a model because a checkbox defaulted to yes. ### Connected by design Channels, customers, files, automation, reports: one record, one login. Fragmentation is what makes customer service feel bad. ### Trust and security Strict account isolation, encrypted sessions and credentials, role-based access, email 2FA, and an audit log of every action. Your data is only ever read by your account. ### Global from day one Full internationalisation with LTR and RTL. English and Hebrew are built in, and the AI answers each customer in the language they wrote in. ### Obsessed with speed Native WebSockets, live presence and typing indicators, sub-second delivery. When a customer waits, the sale walks. Our brand ## Two rings, one connection The outer coral ring is reach: the "Tele" in Teloring, crossing distances and channels. The inner teal ring is the connection itself: the "Ring" that holds a business and its customers together. In the product it's literal: My Ring draws your account as a circle, one coloured arc per channel type. Connect a channel and its arc lights up. One Ring, endless possibilities. The Teloring mark ## Teloring by the numbers - 13 Channel types - 14 AI capabilities built in - 12 Platform modules - 99.9% Platform uptime ## Ready to connect with your customers? [https://teloring.com/llms-full.txt](https://teloring.com/llms-full.txt) ### Site index (llms.txt) A short map of every page, with a one-line summary and a link to its Markdown, following the llms.txt standard. [https://teloring.com/llms.txt](https://teloring.com/llms.txt) ### Product documentation How every screen and feature works, from docs.teloring.com, in one Markdown file. [https://docs.teloring.com/llms-full.txt](https://docs.teloring.com/llms-full.txt) ## Ask your assistant about Teloring Open a chat that already has the right link in it, or copy the prompt and paste it anywhere. Prompt > Read https://teloring.com/llms-full.txt and explain what Teloring does, what each plan costs and whether it fits a business like mine. ## Machine-readable resources Standard formats at stable addresses, in both languages. | Resource | Address | What it contains | | --- | --- | --- | | Markdown of any page | [https://teloring.com/pricing.md](https://teloring.com/pricing.md) | The full text of the page as Markdown, with its title, language and canonical address. | | Markdown on request | `Accept: text/markdown` | Request any page address with this header and it answers in Markdown instead of HTML. | | llms.txt | [https://teloring.com/llms.txt](https://teloring.com/llms.txt) | An index of every page, with summaries and Markdown links. | | llms-full.txt | [https://teloring.com/llms-full.txt](https://teloring.com/llms-full.txt) | The whole site in one Markdown file. | | AI search index | [https://teloring.com/ai-search-index.json](https://teloring.com/ai-search-index.json) | The title, description, headings, keywords and full text of every page, as JSON. | | XML sitemap | [https://teloring.com/sitemap.xml](https://teloring.com/sitemap.xml) | Every page in both languages, with hreflang alternates and last-modified dates. | | Structured data | `JSON-LD in every page` | The organization, the product, plans and prices, FAQs and articles, in schema.org terms. | | API catalog | [https://teloring.com/.well-known/api-catalog](https://teloring.com/.well-known/api-catalog) | Points software agents to the Teloring OpenAPI specification (RFC 9727). | | OpenAPI specification | [https://docs.teloring.com/openapi.json](https://docs.teloring.com/openapi.json) | The complete Teloring REST API, machine-readable. | | Documentation for AI | [https://docs.teloring.com/llms.txt](https://docs.teloring.com/llms.txt) | The llms.txt index and full text of the product documentation. | ## Notes for accurate answers For AI assistants answering a question about Teloring: these keep the answer correct. - **Cite the page, not the file.** Link to the page address (teloring.com/pricing), not to its .md version or to llms-full.txt. - **Prices** are in US dollars per agent (seat) per month. Customers in Israel pay VAT (18%) on top, and an enabled AI Agent counts as a seat. The [pricing page](https://teloring.com/pricing) is the source of truth. - **How a feature works** is documented at docs.teloring.com. For integrations, use the [API reference](https://docs.teloring.com/api/). - **Languages.** The site is published in English and in Hebrew. The Hebrew pages live under /he/. - **Getting started** is free at console.teloring.com/join. Sales questions go to sales@teloring.com. - **Crawling.** Every AI crawler is welcome. robots.txt allows them all, including search, assistant and training crawlers. ## Building an AI agent on Teloring? The REST API, webhooks and the API channel let your agent read conversations, update the CRM and reply on any connected channel. It covers teloring.com and the Teloring platform at console.teloring.com. ## 1. Who we are Teloring provides an omni-channel customer communication platform. When you use Teloring to talk to your own customers, you are the controller of that conversation data and we process it on your behalf, under your instructions. ## 2. Information we collect ### 2.1 Information you give us - Account information: your name, work email, company name and phone number when you register, contact us, or are invited by an admin. - Communication data: the messages, conversations, calls, recordings, files and customer records processed through the platform on behalf of your business. - Knowledge Base content: the documents and web pages you upload for AI grounding. - Billing details: handled by our payment provider. We do not store full card numbers. ### 2.2 Information collected automatically - Usage data: pages visited, features used, and actions recorded in your account's audit log. - Device data: browser type, operating system, IP address and device identifiers. - Cookies: essential cookies for sessions and language routing, and optional analytics cookies only with your consent. ## 3. How we use it We use your information to: - Provide, maintain, secure and improve the Teloring platform - Deliver conversations across the channels you have connected - Power the AI capabilities you have switched on in AI World - Send service notifications, invitations, password resets and 2FA codes - Provide support and answer your questions - Bill for usage and manage your credit balance - Detect abuse and comply with legal obligations ## 4. AI processing Teloring's AI capabilities are off by default. Nothing is sent to an AI model until an account administrator enables the specific capability in AI World. - AI only ever reads the conversations, files and records of your own account. Capabilities are strictly account-isolated. - Knowledge Base content grounds AI answers in your own material rather than the open internet. - Copilot output, summaries and emotion scores are shown to your team. Nothing is sent to a customer automatically; summaries are stored as private notes. - Where you enable an AI Agent, it does reply to customers directly. You configure its disclosure setting, its rules, and what it must never promise. - We do not use your conversation data to train general-purpose AI models. ## 5. Sharing We do not sell your personal information. We share data only with: - Infrastructure and service providers: cloud hosting, databases, email delivery, AI model providers and payment processing, each under contract and only as needed to run the service. - Channel providers: WhatsApp, Meta, Telegram, LINE, TikTok, telephony and email providers necessarily receive the messages you send through them. - Legal requirements: when required by law, regulation or valid legal process. ## 6. Security We implement measures including: - Strict multi-tenant isolation between accounts - Encrypted transmission (TLS) and encryption of sensitive credentials at rest - Role-based access, email two-factor authentication and session revocation - A complete, per-account audit log of actions - CSRF protection, secure session cookies and security headers on every response - Regular monitoring and security review ## 7. Retention We keep your data for as long as your account is active, and afterwards only as long as needed to provide the service, resolve disputes, or meet legal and accounting obligations. You can export your data before closing an account, and you can delete files from Files Warehouse at any time. Deletion there is permanent. ## 8. Your rights Depending on where you live, you may have the right to: - Access the personal data we hold about you - Correct data that is wrong or incomplete - Ask us to delete your data - Export your data in a portable format - Object to or restrict certain processing - Withdraw consent at any time If you are one of our customers' customers, please contact that business first. They control their own conversation data. We will help them respond. ## 9. International transfers Teloring operates globally and your data may be processed outside your own country. Where that happens we rely on appropriate safeguards for the transfer. ## 10. Children Teloring is a business tool and is not intended for people under 16. We do not knowingly collect their personal information. ## 11. Changes We may update this policy. Significant changes will be announced in the platform or by email, and the date at the top of this page will change. ## 12. Contact For privacy questions or to exercise your rights, contact us at: - Privacy: [privacy@teloring.com](mailto:privacy@teloring.com) - General: [sales@teloring.com](mailto:sales@teloring.com) --- # Terms of Service Source: https://teloring.com/terms Markdown: https://teloring.com/terms.md Section: Legal Last modified: 2026-07-26 Last updated: July 2026 These terms govern your use of the Teloring platform. Please read them, particularly the sections on acceptable use, AI features and liability. ## 1. Acceptance By accessing or using Teloring (the "Service") you agree to these Terms. If you are agreeing on behalf of a company, you confirm you are authorised to do so. If you do not agree, do not use the Service. ## 2. What the Service is Teloring is an omni-channel customer communication platform providing: - A unified conversation workspace across messaging, email, social, website chat and voice channels - A customer CRM with contacts, custom objects and saved table Views - AI capabilities including AI Copilot, autonomous AI Agents and a grounded Knowledge Base - Studio automation, a Forms builder and Documents Signature - Analytics dashboards, Files Warehouse and an audit log - A REST API, webhooks and a custom API channel for your own integrations ## 3. You agree to: - Provide accurate registration information - Keep your credentials secure and enable two-factor authentication where appropriate - Tell us promptly about any unauthorised access - Accept responsibility for everything done under your account, including by your reps and any AI Agent you configure ## 4. Plans, credits and payment Teloring is sold per seat, with metered usage paid from credits. - Each human representative requires one seat. An enabled AI Agent also consumes one seat, even though it has no human login. - Your plan includes a monthly credit allowance; you can also buy top-up credits. Monthly credits are spent first, then top-ups, oldest first. - Top-up credits, including free credits earned from Achievements, are valid for 365 days from the date they are added. - Metered items include channel messaging (such as WhatsApp templates and SMS), phone minutes and AI usage. - You authorise recurring charges to your payment method. Prices may change with 30 days' notice. - Upgrades take effect immediately; downgrades apply at the next billing cycle. Refunds are handled case by case. ## 5. Free trial New accounts get a 14-day free trial with access to the features of the plan they choose. No credit card is required to start. ## 6. Acceptable use You agree not to: - Use the Service for spam, harassment, deception or anything illegal - Send unsolicited bulk messages through connected channels, or breach a channel provider's own policies - Break applicable law, including data protection and electronic marketing rules - Attempt to access another account's data - Reverse engineer, decompile or disassemble the Service - Use the Service in a way that could damage, disable or overload the platform - Resell or redistribute the Service without our written authorisation You are responsible for having a lawful basis and any required consent to message the people you contact through Teloring. ## 7. Your data You keep ownership of everything you put into the Service: conversations, contacts, customer records, files and Knowledge Base content. We process it to provide the Service, as described in the [Privacy Policy](https://teloring.com/privacy). You can export your data while your account is active. ## 8. AI features AI capabilities are provided on an as-is basis and are off until you enable them. - AI output can be wrong, incomplete or inappropriate. Review it before it reaches a customer. - AI Copilot suggests; it does not send. An AI Agent does reply to customers directly. Configuring one is your decision and your responsibility. - You are responsible for the final content sent to your customers, and for meeting any legal obligation to disclose that a customer is talking to an automated system. - We do not guarantee specific AI accuracy, availability or performance outcomes. - Features marked "coming soon" are not commitments and may change or be dropped. ## 9. Availability We aim for 99.9% uptime but do not guarantee uninterrupted service. We may perform maintenance, and third-party channel providers can fail independently of us. A separate agreement may include a specific SLA. ## 10. Intellectual property Teloring, its branding, software and technology remain our property. These Terms grant you a limited, non-exclusive, non-transferable right to use the Service while your subscription is active. ## 11. Limitation of liability To the maximum extent permitted by law, Teloring is not liable for indirect, incidental, special, consequential or punitive damages, nor for lost profits, revenue, data or goodwill. Our total liability is limited to the amounts you paid us in the twelve months before the claim. ## 12. Termination Either party may terminate at any time. On termination: - Access to the Service ends - You may export your data within 30 days - After 30 days your data may be permanently deleted - Unused credits expire and are not refunded - Outstanding payment obligations remain due ## 13. Changes to these Terms We may update these Terms. Continuing to use the Service after a change means you accept the updated version. Material changes will be announced. ## 14. Governing law These Terms are governed by the laws of the jurisdiction in which Teloring operates, and disputes will be resolved in its courts. ## 15.
